Go to Sales > Memberships and click the Add Membership button.
Manually adding a membership lets you sign a customer up to one of your subscription clubs directly from the Vendor Panel. This is ideal for signups taken over the phone, at the cellar door, or anywhere your customer is not completing the checkout themselves. The Create Membership wizard walks you through selecting the customer, choosing the club and products, setting up shipping, and collecting payment details.
Before You Begin
Stripe Connection Required
- The Add Membership button is only available once your Stripe account is connected, as memberships need a payment method on file. If the button is disabled, connect Stripe first by following the Stripe payment processor guide.
Creating the Membership
Step 1: Select the customer
- Use the search field to find an existing customer, or turn on the Add a new customer? toggle to create one.
- When adding a new customer, fill in their name, email, phone, and billing address. Their email address is checked automatically to avoid duplicates.
- Click Next to continue.
Step 2: Confirm the billing details
- The Billing Details tab shows the customer's billing address. Review it and make any changes needed before continuing.
Step 3: Set up the membership
- On the Membership tab, choose the club from the Select Club dropdown.
- Set the schedule. Depending on how the club is configured, you will either pick from the Select Frequency dropdown (for example, Every Month or Every 2 Months), add one or more Shipment Date entries, or see the club's fixed process dates. - Under Add Products, search for a product, set the Quantity, and click Add. Only products assigned to the selected club will appear in the search.
Please note: Changing the selected club will clear any products, schedule, and shipping options you have already chosen. Clubs with a custom schedule may also require a minimum number of shipment dates before you can continue.
Step 4: Choose shipping or pickup
- By default, orders ship to the customer's billing address. Turn on Ship to a different address? to enter a separate shipping address.
- If the club supports pickup, turn on Pickup order? and select one of your pickup locations instead.
Step 5: Review the membership
- The Review tab summarises the club, frequency, next shipment date, addresses, and products so you can double-check everything before payment.
- Use the Send notification to customer? toggle to control whether the customer receives a welcome email when the membership is created.
Step 6: Add payment details
- Enter the customer's card details into the secure payment form, then click Create Membership. The card is saved securely with Stripe for future scheduled orders.
- Alternatively, turn on Request Payment From Customer? to email the customer a secure link where they can enter their own card details. The button changes to Send Invoice & Create Membership.
Congratulations! You have successfully created a membership. You will be taken straight to the new membership's view page, where you can manage it like any other membership. Read more in the memberships guide.
Good to Know
No Charge at Signup
- The customer is not charged when the membership is created. Their card is saved on file, and payment is taken when each scheduled order is processed on its schedule date.
Pending Memberships
- If you use Request Payment From Customer?, the membership is created with a Pending status. It becomes Active automatically once the customer completes the payment link. Memberships created with card details entered in the wizard are Active straight away.
First Shipment Timing
- The membership's first order is generated on its next schedule date and processed automatically. Creating a membership does not ship an order immediately.
