Go to Experiences > Events.
Events let you sell tickets to tastings, dinners, release parties and any other experience you host. You create an event, add the sessions and ticket tiers you want to offer, then publish it so customers can book. Members One tracks every booking, keeps count of the spots remaining, and issues each attendee a PDF ticket.
Because your club members are already in Members One, you can also offer them special event pricing, giving them one more reason to stay subscribed.
To see what the platform offers before you build your first event, have a look at Members One event management.
Creating an Event
To create an event, go to Experiences > Events and select Add Event. Events are built through a three-step form: Information, Tickets & Sessions, and Settings.
Step 1: Information
- Enter the Event Name, add an Event Image, and write a Short Description for your event listings and a Full Description for the event page.
- Under Venue Information, add the Venue Name and Venue Address so attendees know where to go.
- Under Date & Time, set the Event Start and Event End, then set Registration Opens and Registration Closes to control when customers can book.
Step 2: Tickets & Sessions
- Add one or more Sessions / Time Slots, each with a name, start and end time, and an optional capacity. Leave the capacity blank for unlimited spots.
- Add your Ticket Tiers, each with a name and price. You can also set a quantity available and a maximum per booking.
Step 3: Settings
- Configure Payment Settings, Member Discount, Booking Settings, and Terms & Conditions, then set the event to Published or Draft under Publishing.
Sessions and Ticket Tiers
Sessions / Time Slots
- Sessions are the individual time slots for your event, which is useful when you run the same experience more than once in a day. Each session can carry its own capacity, and Members One marks a session as sold out once its spots are filled.
Ticket Tiers
- Ticket tiers are the different ticket types you sell, such as General Admission or VIP, each with its own price. Set a quantity available to cap how many of that tier can be sold, and a maximum per booking to limit how many a single customer can buy at once.
Registration Window
The registration window controls when customers are able to book.
Registration Opens and Closes
- Set Registration Opens to the date and time bookings become available, and Registration Closes to when they stop. Outside this window the event is not open for booking.
Past events and sold-out sessions
- Members One will not accept bookings for an event whose date has already passed, or for a session that has reached capacity. This protects you from overbooking and from taking payment for a slot that is no longer available.
Member Pricing
You can reward your club members with discounted event pricing.
Enable Member Discount
- In the event's Settings step, turn on Enable Member Discount and enter a Member Discount percentage. Members receive that discount on their tickets when they book.
Falling back to the club discount
- If you leave the member discount percentage blank, the member's existing club discount will apply instead. This means your regular member benefits carry across to events automatically.
Managing Bookings and Attendees
Open an event to see its bookings and attendance at a glance. The event view shows stat cards for Total Bookings, Tickets Sold, Total Revenue, and Checked In, along with Overview, Sessions, Bookings, and Share tabs.
Adding a booking manually
- Choose Add Booking to record a booking yourself, for example when a customer books over the phone or in person.
Managing an attendee
- From the Bookings tab, each booking has actions to Mark as Paid, Check In, Mark No-Show, Cancel, and Refund. Checking a guest in on the day updates the Checked In count so you can track attendance in real time.
PDF Tickets
Every booking is issued a PDF ticket carrying a unique booking reference in the format EVT-XXXXXXXX.
Downloading a ticket
- Open a booking and choose Download, or the ticket option from the booking's actions, to save the PDF ticket. You can hand it to the attendee or reprint it if they lose their copy.
Event Statuses
An event's status controls whether it is visible and open for booking.
Active and Inactive
- A published event shows as Active and appears on your public event page. A draft event shows as Inactive and stays hidden while you finish setting it up. You can switch between the two at any time from the events list or the event view.
Completed
- After an event's date has passed, Members One automatically marks it as Completed, so your list stays tidy without any manual work.
